Export your FIFO roster to your calendar

FIFO Planner exports your swing and R&R schedule as an ICS file, the standard calendar format that Apple Calendar, Google Calendar and Outlook all understand. The file download is free. Pro adds a live calendar subscription that keeps your phone up to date as your roster changes.

Supported calendar apps

Apple Calendar

iOS and macOS — import via the .ics file or AirDrop

Google Calendar

Import via google.com/calendar → Other calendars → Import

Outlook

Import via File → Open & Export → Import/Export

How to export

  • Step 1: Create a free account and set up your roster with your rotation pattern and start date.
  • Step 2: Open your roster and open the export dialog.
  • Step 3: Choose “iCalendar (.ics)” as the format, pick how far ahead the file should run, and tick whether to include your events and public holidays.
  • Step 4: Press “Export ICS”, then open the downloaded .ics file on your device to import it into your calendar app.

What gets exported

The ICS file contains one all-day event for every day of your roster, starting at your roster's start date and running to the end of the range you choose (a year by default). Each event is titled with your roster name and the status, for example “Site A Roster - On Swing” or “Site A Roster - R&R”, so your calendar shows the whole rotation at a glance.

If you tick the options, your own events (leave, training, flights and so on) are added as all-day events with their notes, and public holidays are added with the name of the holiday and your state. The file does not include reminders, and flight numbers and times are not written into it. CSV and PDF exports are available on Pro plans for when you want a spreadsheet or something to print.

Pro: a calendar that updates itself

Pro includes a live calendar subscription. Create a share link for your roster and the share dialog shows a subscription address with buttons for Google Calendar and for Apple or Outlook. You add it once, and your calendar app refreshes it from then on, so a change to your roster reaches your calendar without exporting again.

The subscription lists the next 12 months of fly-in and fly-out days, plus your own events from today. Calendar apps decide how often to refresh: it asks for every 12 hours, and Google Calendar can take a few hours, sometimes longer, to show a newly added calendar. The subscription is tied to the share link, so revoking the link or letting it expire stops it, and creating a new link replaces the old address.

Other formats

On Pro, the same export dialog also offers CSV and PDF. The CSV opens in Excel, Google Sheets or Numbers, with a row per day showing the date, day of the week, swing or R&R status, which day of the cycle it is, and any event or holiday. The PDF is a printable schedule with a summary of your swing and R&R days. If you only need a calendar, the free .ics file is the one to use.

Common questions

How do I export my FIFO roster to my iPhone or Apple Calendar?

Open your roster, open the export dialog and choose iCalendar (.ics), then Export ICS. A .ics file downloads to your device. On iPhone, tap the file and choose to add the events to Apple Calendar. On a Mac, double-click it to import it into Calendar.

Does the FIFO roster calendar export sync automatically?

The .ics file is a one-time snapshot. If you change your roster you need to export again and re-import it. For a calendar that updates itself, Pro includes a live calendar subscription that you add once in Apple, Google or Outlook.

What does the exported calendar look like?

Every day is its own all-day event titled with your roster name and either “On Swing” or “R&R”. Your own events and, optionally, public holidays are added as well. The file does not contain reminders.
